BPC 10 NW: BPF email settings

Dear Experts,

Do you know where can I find some documentation on BPF email settings?

I know I have to maintain program UJB_MAINTAIN_EMAIL_TMPL but the information I have is fragmented.

I don't know for instance if is it possible to de-activate the type "S" pre-delivered emails?

As of know we've been able to automatically generate/send send emails for all the activity/instance status changes. But there are some status change we don't really want an email for.

Therefore we'd like to disable some of the standard emails.

Hi Michele,

Does it prompt to create your own request for changing the active status of BPF activity? Are you able to edit the object in the BPF email template table?

Could you please paste the error picture here and the BPF activity which you are trying to change?

Hi Ashwin,

I can create new object in the BPF email template table. In fact I have created a couple for testing purposes.

I am not able to edit (de-activate) pre-delivered objects.

When I try to edit the status no request is prompted. I get only the message "Do not make any changes (SAP entry)" at the left bottom corner of the screen.

All I want to do is disable all the emails except for customs one.

Hi Michele,

When you read the yellow sign, it says - Message no. SV117

It can be seen from your screenshot, that you have de-activated most of the S form entries in the table.

This means you are trying to make changes to standard entries, so you are getting that warning but still you can make changes. Problem with this approach is whenever system is upgraded these changes will be overwritten. So, it's better to create custom entries.

Either you can raise an OSS with SAP asking for more details/solution or alternatively, you can seek opinion of other BPC experts on your query.

That is just warning message you can continue... by pressing Enter after you get warning then it will ask to save under on of the customizing transport. just save and continue with your testing.

Thanks Anjan, just had this issue myself and you are correct, you just need to press enter.  I'll like your answer but reckon you deserve it to be the right one.

Hi Michele,

You can use the following information to set up e-mail notification in absence of document.

Email notification is used to notify the owners when:
1. BPF instance is created and actions are taken
2. Instance is completed and ready to be finalized
3. Reviewers are notified by e-mail when a step region is ready for review.

E-mail set-up:
1. Execute t-code SE80 in BW system.
2. Choose package in the left navigation pane, then enter the package name UJB_MAINTAIN_EMAIL_TMPL
3. Click F8. It opens BPC:BPF Email template table overview.
4. To see the detail of each template, double click a template.
5. Set e-mail body of template either smart form body or email body.
6. To activate/de-activate the email notification, click on the icon (pencil/display) to edit. The email template list appears in edit mode.
7. Change the value in column is Active to yes or no to activate/de-activate.

You can manage email notification template using smart form body in t-code SMARTFORMS in BW system.

Thanks a lot for your message.

I have followed steps 1 and 2. However there is no package named UJB_MAINTAIN_EMAIL_TMPL. I can find it as a program, and I can access to it throught tcode SE38.

Anyway the problem is that when I try to change the active status as you mention on step 6 and 7 for the pre-delivered emails (with email type "S") I get the error message: "Do not make any changes (SAP entry).

Therefore I'm not able to deactivate them and to prevent the undesired mails to be sent.

Do you have any suggestion? Am I missing something?

Currently owner can also approve the budget , but this is reviewer task & this should not happen & vice versa .

Pls help me on this.
